What we collect from you
Depending on the service you use, we may need:
- Full name, date of birth, and nationality.
- Passport and other ID document details.
- Current immigration or residency status.
- Travel history and upcoming travel plans.
- Proof of funds or financial documents, where your application needs it.
- Study, work, or family circumstances relevant to your case.
- Any supporting files you upload or send us.
- A record of our conversations with you, by email, phone, or chat.
We only request what's actually needed to process your case.
How we get this information
Most of what we hold comes straight from you, through our forms, emails, calls, or documents you upload. Occasionally we receive information from third parties connected to your application, but only where you've authorised us to act on your behalf.
Why we process it, and our legal grounds
Delivering your service. Preparing your file, reviewing documents, and booking appointments. Grounds: contract performance.
Staying in touch. Responding to questions and giving you case updates. Grounds: contract performance and legitimate interest.
Meeting legal obligations. Record-keeping required by law. Grounds: legal obligation.
Improving what we offer. Including optional updates, where you've opted in. Grounds: legitimate interest or consent.
Sensitive information
Visa applications sometimes involve data that UK law treats as sensitive, such as information that reveals nationality, ethnicity, or biometric details. Where this applies, we rely on your clear, explicit consent. You're free to withdraw that consent, though doing so may mean we can no longer continue handling your case.
Who we share information with
We only pass on your details where your application genuinely requires it, or where we're legally obligated to. This can include:
- Embassies, consulates, and immigration authorities.
- Visa processing centres such as VFS Global, BLS International, or TLScontact.
- Payment processors handling your transaction.
- Trusted service providers and advisers who support our operations, under confidentiality obligations.
- Regulators or authorities, where the law requires disclosure.
We do not sell your data, ever.
Sending data internationally
Because visa processing involves foreign authorities by design, your information will often need to travel outside the UK to the relevant embassy or consulate. We only share what that authority specifically requires for your case.
How long we hold your data
We retain your information for as long as needed to deliver your service, satisfy legal requirements, and handle any follow-up queries or disputes.
To confirm before publishing: our standard retention period is [X years] after your case closes, after which your data is securely deleted.
Keeping your data secure
We restrict access to your documents, use secure systems for storage and communication, and only retain what's necessary. No system is completely risk-free, but we apply reasonable, industry-appropriate safeguards throughout.
Your rights
You can:
- Request a copy of the data we hold on you.
- Ask us to correct inaccurate or incomplete information.
- Request deletion, where we have no legal reason to retain it.
- Object to or restrict certain uses of your data.
- Request data portability to another provider, where applicable.
- Withdraw consent at any point where consent is our legal basis.
Contact us using the details above, and we'll respond within one month.

We'll only email you marketing content if you've opted in, and you can unsubscribe anytime. This has no bearing on the service we deliver for your application.
Under-18s
Our services are for adults. Where a case involves a minor, we require parental or guardian consent and involvement throughout.

We may revise this policy periodically. Any changes will be reflected in the "last updated" date above.
